It feels bas and frustrating if you have all document ready to go but your fine working printer doesn’t allow to print. This article belongs to such issues and provides you the solution how you can try to get printing from Microsoft Office for Mac.

Fix Printing Problems in Office for Mac

Before moving ahead there are a few obvious things that you need to check on:

  • Make sure that the printer is turned on.
  • Make sure that there is paper, ink and/or toner in the printer.
  • Make sure that all cables to the printer and the computer are securely connected.

Important Note: If your printer is showing an error message, better to contact the printer manufacturer or expert technicians for support of that specific error message.

This article is to help you with if you are not able to get your document to print at all. Below some check points are explained, make sure that you check them.

  1. Make sure that all your Apple software are updated

This is the first thing that you need to check to troubleshoot print issues. You need to make sure that all the software running on your Apple computer are updated.  To verify that, click the Apple button available at the top left corner and select Software Update. Go through the Software Update wizard and let it find and download and install any updates.

Reboot your computer, once the updates are complete and then try to print the document again. If it still doesn’t allow your printer to print, it may be possible that it may be paused or another print job is holding up the queue.

  1. Make sure that your printer isn’t paused
  • Open the printer’s queue window by clicking on the printer’s icon in the Dock.
  • If you find the Resume button in the toolbar, it means that the printer is paused. Click on the Resume button and check if printing proceeds.

If the printer isn’t paused, but print jobs are still stacking up anyhow, it may be possible that another print job that has an error is holding up the queue. To clear that job, select it, and then click on the Delete Job button on the right.

  1. Try printing in a new document

Sometimes, it may be possible that the problem is in your document, so to test that, try printing from a different document.

  • Create a new file in the Office program (Word, Excel, PowerPoint etc.) in which you’re having problem printing. To do so, click File > New
  • Type a few random words
  • Now try to print the document

If it prints successfully, it means that the issue is in existing document, but if it doesn’t print successfully, try to alter the font of your text by choosing your sample text, clicking on the Font drop down on the ribbon, and opting out a different font. Now try to print again. If it prints successfully, it means that the problem was with the font you’re using. In this case, using a different font for your text is the easiest solution.

  1. Try printing from different program

Try to print from different program such as Notes to test if the different program is able to communicate with the printer and whether the printer driver is working properly. Open the Notes app on your Mac and open an existing note or create a new one with some sample text, then click File> Print and check if it will print.

If you are able of printing successfully from Notes, it means that the problem is with the installation of Microsoft Office. In this case, you may need to uninstall Office 2016 from your Mac and reinstall it again.

If you are not able of printing successfully from different programs, it means the problem may be with the printer configuration or drivers.

  1. Delete and reinstall the printer in OSX

Follow the steps listed below to delete and add the printer again:

  • In the upper-left of the screen, click on the Apple logo
  • Click System Preferences
  • Click Printers & Scanners
  • Choose the printer that you want to delete
  • Click Delete (-)
  • Click Add (+) to add a new printer and test it
  • Click on the connection method which your printer uses in the Connection Method list
  • In the Printer list, click on the printer that you want to add, and then click on Add option

Now go back to your Microsoft Office application and try to print from the printer that you just re-added. If this hack doesn’t work for you and it still doesn’t print, probably you need to replace your print driver files.

  1. Remove and reinstall print driver files

Deleting and reinstalling your printer will reset your printer’s settings usually. This step may not always replace the print driver files. To replace print driver files, follow the steps given below:

  • In the upper-left of the screen, there is an Apple logo, click on that
  • Select System Preferences
  • Select Printers & Scanners
  • Control + Click anywhere in the device list and select the option Reset printing system from the shortcut menu.
  • In Finder, select Go > Go to Folder and go to the /Library/Printers/ folder.
  • Click Edit > Select All then File > New folder with Selection in the Printers folder that appears to create a new folder that will be including those drivers. By default, the folder will be named “New Folder With Items” that is fine for your purposes. Once you are done, you can delete that folder to save space.
  • Now repeat the process that you followed to delete and reinstall the printer. This time, your machine will download and install new printer drivers.

Go back to Office and try to print the document again. If it still doesn’t work out, it may be possible that your printer preference files causing issues.

  1. Replace the printer preference files

You may fall for printing issues if printer preference files are corrupted. Follow these steps to replace the printer preference files:

  • Click File on the desktop then New Folder, type Print Prefs, and then hit on the RETURN key on your keyboard
  • Click Home on the Go menu
  • Open Library

Important Note: In MAC OS X Lion the Library folder is hidden. To display this folder, press the OPTION key down while you click the Go menu.

  • Click Preferences
  • Hold down the Apple or Command key, and then click each com.apple.print.*.plist file. For example, hold down the Apple key, click com.apple.print.PrintCenter.plist, and then click com.apple.print.PrintingPrefs.plist. doing so, the com.apple.print.PrintCenter.plist and com.apple.print.PrintingPrefs.plist files will be highlighted
  • Drag the files that highlighted in the above step to the Print Prefs folder that you created in first step of this section.
  • Restart your Mac computer
  • Now try to print again from Microsoft Office for Mac
